3. Legal Basis for Recordkeeping

As a Vermont-commissioned notary performing remote online notarizations, we are legally required to:

Create and retain an audiovisual recording of each RON session for a minimum of 10 years
Maintain a notarial journal recording details of each notarial act
Verify signer identity using credential analysis and knowledge-based authentication

This retention is mandated by Vermont law governing electronic and remote notarial acts, not a business preference — we cannot delete this information on request during the required retention period.

4. How We Share Your Information

We do not sell or rent your personal information. We may share information only in the following circumstances:

Service providers: With RON platform providers (e.g., Notarize/Proof, Snapdocs, or similar), identity verification vendors, and payment processors who help us deliver the service. These providers are contractually obligated to protect your information.
Legal requirements: When required by law, subpoena, court order, or to comply with a regulatory request from the Vermont Secretary of State or other government authority.
Signing platforms/title companies/lenders: When you engage us through a third-party platform (e.g., a title company or lender), relevant transaction information may be shared with that party as part of completing your document signing.
Business transfers: In the event of a merger, acquisition, or sale of business assets, your information may be transferred as part of that transaction.

5. Data Security

We take the sensitivity of your information seriously. Security measures include:

Important limitation: Because Vermont law requires us to retain audiovisual recordings and notarial journal records for a fixed statutory period, we are unable to delete this information upon request until the retention period has expired, even if otherwise requested under applicable privacy law.

7. Cookies and Website Analytics
